Review one concrete record, not an abstract document type
Choose the version currently used for a decision or request. The check is most useful when the team can point to one file, one business object and one intended purpose.
Mark uncertainty as an action
An unanswered item is not a failure. Record who will clarify it and by when, so uncertainty becomes owned work instead of remaining hidden in a folder.
Repeat the check when purpose or requirements change
A new version, expiry, changed supplier, revised policy scope or new recipient can change whether the same record remains appropriate.
Working checklist
Check the evidence in six dimensions.
Print the page or work through it together. For every unchecked point, note an owner and next action in your normal task system.
1. Identity and purpose
Can another person understand what this record proves and where it belongs?
The document or record has a clear title and evidence type.
The related supplier, policy, contract, process or audit is identifiable.
The intended use or requirement is documented.
2. Source and version
Can the team identify the concrete content being reviewed?
The source or submitting party is known.
The concrete file or document version is identifiable.
A newer or conflicting version is not silently being used elsewhere.
3. Validity and timing
Is the record current for the intended decision?
Issue date, effective date or relevant period is known.
Expiry or next review date is recorded where applicable.
The responsible team will be reminded before action is due.
4. Responsibility and review
Has the responsible team made the required decision?
A named owner is responsible for keeping the record current.
The appropriate reviewer has assessed the concrete version.
Review outcome, date and any qualification are documented.
5. Assignment and traceability
Can the team explain how the record supports the business process?
The related requirement, request or decision remains connected.
Open gaps, exceptions or follow-up actions are visible.
Relevant changes and approvals can be reconstructed.
6. Reuse and release
Is reuse appropriate for the next recipient and purpose?
The record is approved for the intended internal or external use.
Sensitive information and recipient access have been considered.
The shared version and its approval will remain traceable.
Process
Turn the result into the next action
Choose the three unchecked items with the greatest decision or deadline impact.
Assign one responsible person and a realistic due date to each item.
Decide whether the record may still be used with a documented qualification.
Update the review after a new version, decision or expiry event.

Is this a certification checklist?
No. It is a practical quality check for one business record. Applicable legal, contractual, normative or certification criteria must be defined separately.
Who should complete the check?
The record owner and the responsible reviewer should complete it together when those responsibilities differ.
Must every item be checked before use?
That depends on purpose and risk. If an item remains open, document the qualification, responsible decision and follow-up instead of hiding the uncertainty.
Can we use the check for external evidence?
Yes. It can be used for supplier documents and customer-provided records as well as internal policies, contracts and audit evidence.
How often should we repeat it?
Repeat it when a new version arrives, validity changes, the intended use changes or the review cycle becomes due.
